  • Use Terms that Fit Your Organization

Version 2 of the OnTime System introduces a concept of rebranding the system to better fit the expectations of your business. Customization is an important thing when it comes to encouraging your users to be comfortable with the system. In OnTime version 2, nearly everything is customizable including the terminology. But using the right term for your business makes the system comfortable for your users and OnTime makes this possible. Simply follow these steps: Open OnTime Management Suite. Go to the Tools menu and choose General Options. Select the Terminology tab. While we offer some common terms in this area, you are free to change these to whatever best fits your business. After clicking the OK button to save the changes and then performing a Synchronization, everyone in your organization will start seeing your new terms appear throughout...

  • How to Improve Search Engine Placement

Ideally, your web site will be much more traffic if you can successfully get it to appear in the top 10 results returned by a search engine. But with so many web sites out there battling for your visitors, how can you improve the chances that you will start to appear at the top of the list? Each search engine, such as Google and MSN, are a little different in how they catalog and rank your web site. Here are a few suggestions: Be specific. The worse thing you can do on your site is be like everyone else. That makes you blend in, instead of standing out. So use words and phrases that are very specific and peculiar to your site’s content. Be sure to mention the local names, such as the state and city you’re located in. That will ensure you get pushed to the top if someone includes the name of your town in their search query. Be smart with keywords. A well designed web page will have hidden in the HTML a meta tag that contains a list of keywords to which search engines can look. This list...

  • Why so much junk email?

The reason there is so much junk email is simple - spam works. Unfortunately, there are those who buy products advertised in junk email which just encourages them to send more and more and more. Junk email is cheap to send. By utilizing spam-friendly ISPs, spammers can send their emails out very inexpensively. Nowadays, the risk of getting caught is substantial and expensive, however so far it doesn’t appear to be enough to offset the profitability of sending spam....

  • Ways to Reduce the Spam

Use a Separate Email Address - If you are going to be giving out your email address to unknown organizations, some have found it beneficial to have a separate email account with a provider such as Hotmail or Yahoo and use that secondary email account when handing out their address to strangers. That way any junk mail stemming from that will not clutter their primary inbox. There are also services that provide “disposable” email addresses that when disabled will bounce all spam back to the sender instead of your inbox. Report it - One of the best things you can do about spam, is to complain about it. Spammers can lose their Internet access and pay for breaking their ISP's acceptable use policy. Free services such as SpamCop can help. They will analyze your unsolicited email messages and send complaints to the right authorities on your behalf. Beware of Checkboxes - When you sign up for something on the Internet, there is often text at the end of the form saying something like: "YES, I...

  • Where Do Spammers Get My Address?

It can be frustrating to get a constant stream of junk mail, especially when you did nothing to solicit it. Unlike the junk mail you might get in your postal mail box, there are few rules regulating how spammers get your address. So just how do these people get your email address when you never gave it to them? There are a multitude of places such as newsgroups, mailing lists, chat rooms, social networking sites (such as MySpace), and the phone book. If you have a web site, you might advertise your email address as a way for people to contact you. Spammers often times employ programs, called bots, which canvas the internet and newsgroups in an automated way looking for any and all email addresses. The bottom line is that if you have used the internet for any period of time, chances are your email address is out there and thus easy to obtain. Even if you don’t give your email address out at all, it’s just a matter of time before you start getting junk mail. Automated programs can send messages...

  • Don't Let Your Attachments Get Blocked

Many email systems and programs will block a file attached to a message. This is usually done based on the potential that the file could be a virus or some other malware that could screw with your computer. In the past, email programs made it easy to even accidentally open these attachments without thinking of the consequences first, leading to the computer getting infected. As a result, most email programs, including Microsoft Outlook, will block attachments to protect you. The problem is that sometimes this protection is too good and can cause your recipients grief when they try to open a file you sent them and the email program blocks it. The easiest way to ensure that your users will be able to open the attachments you send them is to put it into a ZIP archive. In Windows XP or Vista, this is very easy to do. Simple locate the file, right click on it and choose Send To: Compressed (zipped) Folder. This will create a compressed version of the file which can then be attached to your...

  • Beware of emails that could wreck havoc on your computer

Most of us understand the danger of computer viruses and have installed antivirus software. However, this in and of itself does not offer complete protection. It takes time for antivirus vendors to analyze, create, and deploy security updates and by that time it could be too late. That is why it is important to be proactive and make wise choices when it comes to opening email attachments. Start by understanding the nature of your attachment. Any executable type attachment has the potential to be infected so should not be opened unless it was specifically requested or expected. You might assume you are safe if you know the sender, however email worms are sent to addresses found on infected users' machines. So often times the email worm will arrive from someone you know and the sender is unaware of the viral email being sent from their machine. Again the best advice is not to open an executable type attachment unless it is expected. This is definitely an instance where it is better to be...

  • Is search engine placement really that important?

You’ve spent time and money creating a website and now you’d like to see results. Search engine placement is a critical component in attaining results and effectively marketing your website. Why? Because it captures customers at the moment of their interest in your particular product or service. Studies have shown that search engines are a primary method used by online consumers. Submitting your website to search engines can be fairly straight forward. However, a listing without good placement is not very useful. Research recently conducted by Jupiter Research found that 62% of search engine users click on a search result within the first page of results, and 90% of users click on a result within the first three pages of search results. Take practical steps to improve your ranking....
